Surveys and Elections

For Premium Plan customers, MotorsportReg surveys allow organizers to gather feedback and insights directly from attendees. Surveys can be used to evaluate satisfaction, collect suggestions, measure outcomes or for board election.

Creating a Survey

1. Navigate to Survey Builder

  • From the Dashboard, go to Settings > Surveys & Elections

  • Click Add New Survey.

2. Edit Survey

  • Give Survey a Title.  Use names like [Event Name] Feedback Survey, [Event Name] Post-Event Evaluation, or simply Event Feedback Survey

  • Set survey Start/End dates.  We recommend leaving surveys open for 2-3 weeks after event.  See your organizational rules or charter to determine length of elections.

  • Visible?: If using White label website, “Yes” will lock survey to the top of the landing page.
  • Allow responses from:
    • Everyone in member database - most flexible option allow everyone to respond to survey.
    • Verified Members - requires a valid membership.  Please reach out to our Support Team for more information about memberships.
    • Verified {Account} - restricts participant to membership in a specific club and region/chapter.  Example:  SCCA - Washington DC Region, PCA - Allegheny
  • Locked?:  This feature is for elections or anonymous surveys.  Aggregate results will not be available for Locked surveys until after the survey end date.  Name, email and member number will be provided for unlocked results.

WARNING:  Do NOT lock the survey until it is ready to go live.  Once locked, survey settings and questions cannot be modified.

  • Results public?:  Yes: Results are shown to respondents after completing the survey.  No: Results are restricted to administrators.
  • Post Edit?: Can respondents return and edit their answers after they submit?
  • Max Responses:  Limit the number of people who can respond to the survey.  
  • Description/Help:  Similar to the Advertisement page in an event.  This information will be displayed when the respondents take the survey and also at the top of the survey above the questions.  Example:  Thank you for taking the time to participate in this survey. Your feedback is valuable and will help us [improve our services / understand your needs / guide future decisions — adjust as needed]. 

    This survey should take approximately [X] minutes to complete. Your responses are confidential and will only be used for research and improvement purposes.

3. Add Questions

  • Click Add Question to create questions.

  • Question: What do you want to ask respondent

  • Answer Format: 
    • Yes/No: Radio button allowing 1 option.
    • Date: requires specific date format, mm/dd/yyyy. 
    • Text: Meant for single line text answers like name, email.  Can also be used with a Fixed Answer List.
    • Integer: For answers requiring a whole number, such as 'How many times have you participated with our organization?'.
    • Money
    • Essay/Comment Box: For large, multiline text responses.  Used for open-ended, detailed feedback questions.
    • Likert Scale: Used to measure attitudes.  1-Strongly Disagree to 5 - Strongly Agree.  The scale is not editable.  Be sure to phrase the question accordingly.
    • File Upload: Allow respondents to provide document or image files.  File upload gives the most flexibility when uploading.
    • Image Upload:  Limited to image files only.
  • Question "Help":  Provides additional guidance to help the respondent understand and answer the question.
  • Members Can:  To restrict a question so only non-members can respond, use 'Read only'.  Members will be able to see the question but will not be able to answer it.  Use the Question "Help" to indicate the question is for non-members.  
  • Required: Forces everyone to answer the question.
  • Use fixed answer list: Use with Text answer form to create a predefined list of answers in a drop-down list.  Put a comma between each answer.  
  • Answer List: Define a list of answers.  Separate each answer with a comma to create list of answers.  Example: It was a great event, It was a good event, It was neither a good nor bad event, It was a poor event, It was an unacceptably bad event
  • Allow multiple answers: Use with Text answer format to give predefined check box answers.  
  • Maximum answers: Allows a specific number of check boxes to be selected. 
  • Save and repeat to add more questions.  

4. Adjust Layout

Use the handle in front of the question to change order of questions.

5.  Test Survey

Use 'Direct Link' to see the survey as respondents will.  Do a review of:

  • Layout and flow
  • Test all the question types.  Are the fixed answer lists displaying as intended.
  • If using non-member question options, considering creating or using a child profile under your own profile to test both member and non-member questions.
  • Check spelling and grammar
  • Instructions are clear

Tip:  If you need to take the survey, do not click 'Complete Survey'.  Doing so will prevent YOU from taking the survey later unless 'Post Edit' is enabled.

6. Sending Survey

  • Post-event surveys should be sent out via email 24-48 hours after an event.  Give respondents time to reflect on their experience.  Be sure to include the Direct Link to the survey.
  • Use a catchy call to action subject line, We'd love your feedback - tell us what you thought of [Event Name]!
  • Clearly communicate the closing date.  The survey will remain open until [end date], so be sure to share your thoughts before then!
  • Send polite reminder emails every 4-7 days.
  • Keep reminders short and focused.  Remind them what the survey is for and why it matters.
  • Create urgency but don't over do it.  The survey closes soon!  Your feedback helps us improve - don't miss your chance!

 

7. Results

Unlocked results can be viewed:

  • In real-time by selecting Results from within the survey
  • From the Survey List, click on see results

Locked results are available after the survey closes.

To download and share the results, start from the Survey List > click see results > Download a spreadsheet of these results.

 


Best Practices

  • Keep it short: 5–10 questions max.

  • Be specific: Ask about things you can change.

  • Act on feedback: Communicate what changed based on responses.
