How to reopen a postponed or cancelled event

If you cancel an event and now need to reopen it or reschedule it, here are some helpful tips to help you successfully move forward. First, determine which category your event falls into 

A: NO PAYMENT WAS COLLECTED: (payment options = deferred payment or no payments accepted)

If payment was set to verify, store and defer until later, or if no payment was collected before the event registration was closed, simply: 

  1. Update the Event Start/End dates and the Registration Opens and Close dates.  
  2. Click (uncancel) to reopen registration.
  3. Lastly, use the email blaster to notify attendees that the event has been rescheduled, anyone not able to attend the new date will want to cancel their entry. 


B: PAYMENT WAS COLLECTED and either credits and/or refunds have been issued to attendees

If you issued credits and/or refunds to your attendees for an event that was suspended or canceled, you will need to leave that event as closed.  Instead, clone the original event.  

  1. Using the cloning tool, update with the new dates and reopen registration.  
  2. Use the email blaster to notify your attendees that the event has been rescheduled and they will need to re-register for the event.  Be sure to include the permalink or short URL for a user-friendly experience.  


C:
PAYMENT WAS COLLECTED, but no further action has been taken regarding payment

You can go ahead and reopen the event (similar to Option A): 

  1. update the Event Start/End dates and the Registration Opens and Close dates.  
  2. Click (uncancel) to reopen registration. 
  3. Lastly, use the email blaster to notify attendees that the event has been rescheduled, anyone not able to attend the new date will want to cancel their entry. 


Additional Considerations

Membership: If your Original event offered membership packages or used the auto-issue credential feature, please reach out to the MSR Success Team for further assistance.  Memberships may need to be reissued and payments addressed.  

Moving/Coping entries: (for advanced MSR users): You can move entries from one event to another, however, we recommend using this feature with caution. Please reach out to the MSR Success Team for further assistance if you choose to go this route:

  1. The post-reg editing feature will need to be turned off for all attendees.  Entries that have been moved can not be edited by the attendee so all edits must be done by the registrar.  
  2. Any private notes in the original registration will also be copied to the new event.  
  3. Payment could become an issue if moving a registration.
